Jurisphere.ai is designed to be a transparent, observable, and reliable artificial intelligence (AI)-powered research assistant for legal professionals. We at Coresphere100 Technologies Pvt. Ltd (“Jurisphere”, “we”, “our” or “us”) place a high priority on user trust, privacy, and data protection, and process personal data responsibly and lawfully in compliance with applicable privacy and data protection laws.

1. Scope of this Privacy Policy

This privacy policy (“Privacy Policy”) explains how we collect, use, disclose and process your personal data when you use our web application (app.jurisphere.ai), our mobile application, the Jurisphere Add-In for Microsoft Word, or Microsoft Outlook (collectively, the “Platform”), and our website (jurisphere.ai) (collectively, the “Services”).

Jurisphere’s Services are offered to businesses, companies and other entities for professional use (“Customers”). This Privacy Policy does not apply to Customer Data.

“Customer Content” means any content, documents, queries, prompts, or other information uploaded to or processed through the Platform by or on behalf of Customers in the course of using the Services, including any outputs generated by the Platform in response to customer inputs.

“Customer Data” means all Personal Data processed by Jurisphere on behalf of a Customer, which includes Personal Data forming part of Customer Content.

“Personal Data” means any data about an individual who is identifiable by or in relation to such data.

Customer Data is processed by Jurisphere solely as a Data Processor on behalf of the relevant customer, who is the Data Fiduciary or Data Controller of that data. The processing of Customer Data is governed exclusively by the agreement with the Customer.

Important: Jurisphere does not use Customer Content to train, fine-tune, or improve any AI model; Customer Content is held in memory only for the duration required to generate a response and is not retained beyond that purpose. All Customer Content transmitted through the Platform is encrypted in transit and at rest, consistent with our security standards detailed at https://trust.jurisphere.ai/. Jurisphere does not access or use Customer Content, which is processed exclusively by automated systems on a transient basis, except where strictly required for security incident investigation, legal compliance, or at the Customer’s express request, and subject to confidentiality obligations in each case. We recognise that data uploaded by Customers, which includes legal professionals may be subject to legal professional privilege and confidentiality obligations, and our architecture and contractual commitments are designed to respect and preserve that confidentiality.

2. Personal Data we collect

We collect the following categories of Personal Data relating to you:

  • Account information: When you create an account with us, we may collect information associated with your account, including your name, email address, payment information, billing address and limited payment instrument details such as the last four digits of your card number.

    Jurisphere does not store full payment card numbers, CVV codes, expiry dates, or banking credentials. Such information is processed directly by our authorised payment service providers in accordance with applicable security standards.

  • Feedback on your use of our Services: We collect information that you voluntarily provide when you submit feedback, suggestions, reviews, ratings, or responses relating to your use of the Services, including responses to surveys or product research initiatives.

  • Communication information: We collect information relating to communications between you and Jurisphere, including emails, letters, support requests, and messages sent through our official communication channels, including social media platforms such as LinkedIn and Instagram.

  • Usage information: We collect information when you interact or use our Services. This includes IP address, device identifiers, usage and activity logs, pages or features accessed, general geographic information inferred from IP address, cookies, web beacons, or similar technologies used to maintain sessions, remember preferences, and analyse usage patterns. We also collect information on your interactions such as the number of questions asked, number of documents uploaded, size of documents, features used, session duration, and error logs, to help us understand usage patterns and improve performance.

3. How we use Personal Data

We may use Personal Data to operate, enhance and personalize our Service, communicate with users and to meet our legal and regulatory obligations. In particular, Personal Data may be used for the following purposes:

  • Identity verification and account management, including creating and administering user accounts, authenticating users, managing access permissions, and ensuring that only authorised users can access the Services.

  • Communication and notifications, including responding to inquiries, providing customer support, sending service-related notices, updates, confirmations, and other operational communications, as well as sending marketing and promotional communications relating to our Services, where you have opted in to receive such communications.

  • Personalization of Services, including customising features, content, and user experience based on user preferences, usage patterns, or professional context, where applicable.

  • Security, risk management, and fraud prevention, including protecting the integrity of our systems, detecting security incidents, and preventing unauthorised access or malicious activity.

  • Service performance, troubleshooting, and quality improvement, including diagnosing technical issues, analysing platform performance, and improving functionality and reliability of the Services.

Important — Cookie Policy: We use only essential cookies and similar technologies that are necessary for the core functionalities of our Services, such as those for security, network management, and accessibility. We do not use cookies for marketing or advertising purposes. Essential cookies are vital for the proper functioning of our Services. They enable basic features such as page navigation, secure login, and access to certain areas of the website. These cookies are necessary for providing our Services. By using our Services, you agree to the use of essential cookies for security, network management and accessibility.

  • Compliance with applicable laws, regulations, and legal obligations, including responding to lawful requests from authorities, enforcing our agreements, and maintaining records as required by law.

  • Billing, invoicing, and subscription management, including processing payments, managing subscriptions, issuing invoices, and maintaining financial and accounting records.

  • Service improvement, including using aggregated and de-identified feedback, ratings, and usage insights provided by users to evaluate, improve, and refine the performance, accuracy, and reliability of our Services.

Our Services are powered by a combination of proprietary AI models operated within our own local cloud infrastructure and AI models and APIs provided by selected third-party providers. Where we use third-party AI model or API providers, we engage only those providers that offer contractual and technical assurances consistent with our privacy commitments.

Anonymization of Personal Data: We may also aggregate or de-identify Personal Data so that it no longer identifies you and use this information for the purposes described above, such as to analyze the way our Services are being used, to improve and add features to them, and to conduct research. We will maintain and use de-identified information in de-identified form and not attempt to reidentify the information, unless required by law.

4. Sharing of your Personal Data

We may share Personal Data with trusted third parties solely to the extent necessary to operate, maintain, and improve the Services, and to comply with applicable legal obligations. Such sharing is limited to the purposes described in this Privacy Policy and subject to appropriate contractual and security safeguards.

  • Hosting and Cloud Service Providers: We use third-party cloud and hosting service providers to host and operate our platform infrastructure.

  • AI Model and API Providers: We use selected third-party AI model and API providers to support certain features of the Services.

  • Payment Service Providers: Payments made on the platform are processed through authorized payment gateway providers. We do not receive or store full payment instrument details. Payment service providers process such information independently in accordance with applicable security and regulatory standards.

  • IT, Platform, and Productivity Service Providers: We may share limited Personal Data with IT service providers and platform partners that support core functionality of the Services, including document processing, authentication, user management, email delivery, and productivity integrations.

  • Analytics, Marketing, and Advertising Service Providers: We may share limited usage or device information with web analytics, marketing, or advertising service providers to understand how users interact with the Services, improve performance, and conduct outreach or communication platforms to send product updates and marketing emails. Such data is shared in a manner consistent with this Privacy Policy and applicable law.

  • Legal and Regulatory Disclosures: We may disclose Personal Data where required to do so by law, regulation, court order, or other lawful governmental request, or where such disclosure is necessary to enforce our rights, investigate potential violations, or protect the rights, safety, or security of Jurisphere, our users, or others.

  • Affiliates: We may share Personal Data with our affiliates for purposes consistent with this Privacy Policy, including internal administration, compliance, business operations, and support of the Services.

  • Professional Advisers: We may disclose Personal Data to our professional advisers, including accountants, auditors, business advisors, and legal counsel, where such disclosure is necessary for obtaining professional advice, complying with legal or regulatory obligations, or protecting our legal interests.

  • Business Transfers: If we are involved in strategic transactions, reorganization, bankruptcy, receivership, or transition of service to another provider (collectively, a “Transaction”), your Personal Data may be disclosed in the diligence process with counterparties and others assisting with the Transaction and transferred to a successor or affiliate as part of that Transaction along with other assets.

5. Your Rights

Depending on your location, you may have certain statutory rights in relation to your Personal Data. This may include the following:

  • Right to access your Personal Data and information relating to how it is processed.

  • Right to correction, completion, updating, of inaccurate, incomplete, or unnecessary Personal Data, subject to applicable requirements. You can update some of your Personal Data, such as name, phone number, email address etc, through your Account Settings.

  • Right to erasure of your Personal Data from our records. Because of the way we maintain certain Services, after You delete Your Personal Data, residual copies may take a period of time before they are deleted from our active servers.

  • Right to withdraw consent, where processing is based on consent. Withdrawal of consent may affect the availability of certain Services. You can withdraw your consent to receiving marketing and promotional communications and product updates, at any time using the unsubscribe links set out in the update emails or through your account settings.

Verification. In order to protect your Personal Data from unauthorized access, change, or deletion, we may require you to verify your credentials before you can submit a request regarding your Personal Data. If you do not have an account with us, or if we suspect fraudulent or malicious activity, we may ask you to provide additional Personal Data for verification. If we cannot verify your identity, we will not be able to honor your request.

6. Retention of your Personal Data

We retain your Personal Data for only as long as we need in order to provide our Services to you, or for other legitimate business purposes such as resolving disputes, fraud detection, safety and security reasons, or complying with our legal obligations tax, legal, accounting purposes. How long we retain Personal Data will depend on a number of factors, such as the relevant purpose for processing the Personal Data (for example, whether we need to retain the data to provide our Services).

Since we maintain copies of Personal Data to protect from accidental or malicious loss and destruction, residual copies of your Personal Data may remain in our backup systems for a limited period of time.

7. Children’s Privacy

The Services are not intended for or directed at individuals under the age of 18. Jurisphere does not knowingly collect or process Personal Data of individuals below 18 years of age or send marketing communications to such individuals. If a parent or guardian believes that a minor has provided Personal Data to Jurisphere without consent, they may contact us at dataprotection@jurisphere.ai, and we will take appropriate steps to delete such Personal Data from the Services.

Jurisphere implements appropriate technical and organisational measures to protect Personal Data against unauthorised access, disclosure, alteration, or destruction. Our security practices are designed to ensure the confidentiality, integrity, and availability of information processed through the Services.

We may update this Privacy Policy from time to time. We will inform you of any changes through our website, or by email, and the updated Privacy Policy will become effective upon publication.
